We spoke to Ruben Arnbert, our VP Finance, about the payment flow problems facing ecommerce finance teams and how you can solve them with our latest features.
Finance teams spend way too much time on manual payment flows. They bring a lot of financial admin, like reconciliation, accounting and managing accounts payable. This takes up time that could be better spent deep diving into data to understand the business and how to improve it.
Finance teams we’ve spoken to estimate that they can spend up to 80% of their time gathering financial data and only 20% on interpreting it. Ideally, you want to flip this division of time so the majority is spent on understanding your business instead of financial admin. Financial admin is a necessity, but it isn’t necessarily where your time is best spent. Understanding your business is what can bring value by analysing data to give actionable insights.

Invoice payments (accounts payable) have a different set of challenges to card payments, but automation can unlock huge value as it’s a tricky part of the payments process.
The invoice payment cycle is usually spread across a scattered range of tools. A typical payment cycle starts with a dedicated email inbox where suppliers send their invoices. Someone will manually check the invoice and see whether it’s correct and needs to be paid. Then, they need to scan the invoice payment details or input the bank account details, amounts and choose where the money should come from. This cycle will occur at different intervals depending on volume.
Once an invoice is paid, then comes the accounting, which involves choosing the right type of expense and VAT so it can go into your General Ledger. Lastly, the expense will be reflected in the business performance through the Profit & Loss and Balance Sheet statements.
That’s multiple manual steps, multiple tools, and too much time spent on a process that could be streamlined with automation.
